Shine Solutions Internship: AIM2 - An AI-powered multi-language meeting minutes taker

**Project **\

Background:

Shine Solutions has offices in Sydney and Melbourne with a new office recently opened in Canberra. The company employs a diverse pool of staff coming from various backgrounds across all three office locations. Furthermore, Shine Solutions works closely with various partners and clients across Australia and abroad.

The management team is looking at ways the company can support its internal employees and partners and the AI/ML team has outlined a proposed internal service that can record and store the audio from meetings for conversion from audio to text files. The text data can then be piped into an AI-powered service capable of creating a succinct summary of the meeting minutes based on the contents of the audio file. The minutes can then be converted into a PDF file and distributed to the relevant stakeholders.

The goal of this project is to reduce the amount of post-meeting administrative work, freeing up time for the meeting organiser to focus on other priorities and ensure that all meeting attendees get a copy of the meeting minutes and actions without any manual work required.

Moreover, this project would also provide the additional benefit of facilitating Shine’s goal of creating an accessible and inclusive work environment by providing the contents of the meeting in a format that is accessible to all meeting stakeholders in their native language as well as employees who may be deaf or hard of hearing.

Business Requirements:

The AI/ML team at Shine Solutions has put together a list of core features and design requirements that they’d like to see in the deployed service:

Design:

Components fully hosted and operated on cloud service platforms
Modular design approach using microservices and serverless functions where feasible
Each component to adhere with loose coupling principles

Features:

Web identity federation for authentication
Client-facing portal that captures audio files uploaded by staff members
Client facing portal that records allows staff to search and view old meetings
An appropriate data storage solution for both the raw submitted audio data as well as the processed text/audio data
Ability to generate translated audio files in different languages
Ability to generate meeting of minutes PDF in different languages from the audio file
Ability to send email with the meeting of minutes to all the staff involved in the meeting
